· Call to Order
· The meeting was called to order at 5:00 pm by Co-Chair Charlie Roberts. Ten (10) of eleven (11) voting members were present or represented by an alternate.
· Also present: Justin Bernard, OPM, Colliers Project Leaders.
· Present via Zoom: Matt LaRue, HMFH Architects; Ed Cifune, DBVW Architects; and Derek Osterman, OPM, Colliers Project Leaders.
· Approval of Meeting Minutes from November 21, 2023
· MOTION: Tom Welch moved to accept the meeting minutes from November 21, 2023 and Bill Nash seconded. The motion passed unanimously (10-0).

· Architect’s Update and matters related thereto:
User Group Meeting Feeback
· Matt LaRue informed the Building Committee that user group meetings have been completed with the following teams: high school English, library, pre-engineering and computer science CTE programs, Special Education, Art and Physical Education.
· Upcoming meetings will take place with music, science, other core subjects, Biomed, administration, and other Special Education teams such as East Bay Works.
· The feedback being gathered involves furniture requirements, floor plans, storage needs, etc.
Review of Geotechnical Test Pits and Need for Civil Test Pits
· Matt LaRue informed the Building Committee that the geotechnical tests pits were completed on November 29, 2023 and civil test pits are scheduled for December 27, 2023.
· The geotechnical test pit report will be available at the next meeting on December 20th.
· Civil test pits are needed to understand soil composition and drainage capability.
Two Week Look Ahead:
· The space programming efficiencies with the school staff will continue.
· Acoustical background monitoring memo is due by 12/6/2023.
· Several major items will be completed by December 15th:
1. Schematic design of the new middle/high school and site
2. Code consultant review
3. Life Cycle Cost Analysis for the HVAC options
4. Schematic design cost estimating
5. Elementary school scope and phasing options
6. Furniture and equipment user group meetings
7. Governor’s Commission on Disabilities review will be submitted.
· The meeting with Middletown public officials will be scheduled for the week of December 18th.
· The civil engineering soils assessment is due December 27th.

Master Schedule and Budget Update
· Justin Bernard stated that the project is on schedule and on budget, and there are no changes to the original plans.
· Justin added that he would be sending out a request to all Building Committee members to ask about availability in January for a Building Committee planning meeting.

· MOTION: Tom Welch moved that the Building Committee adjourn at 6:01pm and Marc Thayer seconded. The motion passed unanimously (10-0).
Future Meeting Schedule – The next meeting will be on December 20, 2023 at 5:00p.m. at the Oliphant Administration Building.
